Job Description – IT Vendor Management Office (VMO) Manager
Reports to: Chief Information Officer / Head of Procurement
Position Overview
The IT Vendor Management Office (VMO) Manager leads the strategic and operational management of IT vendors, including software, IT services (consulting, outsourcing, cloud, cybersecurity), and hardware contracts. The role is responsible for maximizing contract value capture, improving vendor performance, and ensuring compliance across a $10M–$100M+ portfolio, with oversight across multiple divisions and regions. This position operates transversally within the holding, delivering executive insights, KPI-driven dashboards, and actionable recommendations.
Key Responsibilities
1. Vendor Relationship & Governance
- Establish structured governance models for vendors, including steering committees, quarterly business reviews (QBRs), escalation frameworks, and vendor engagement protocols.
- Align vendor relationships with corporate strategy and business division priorities.
- Collaborate with Procurement, Legal, Finance, and IT teams to ensure contracts support strategic objectives.
- Facilitate transparent communication between vendors and internal stakeholders.
2. Vendor Performance Management (VPM) & Contract Value Realization (CVR)
Vendor Performance Management (VPM) Practices:
- Define and track vendor KPIs, SLAs, service quality metrics, risk indicators, and escalation protocols.
- Conduct structured vendor assessments, including:
- Service delivery against contract commitments
- Compliance with security, regulatory, and operational standards
- Vendor risk identification and mitigation
- Implement vendor scorecards, rating vendors quarterly on performance, quality, responsiveness, innovation, and risk management.
- Maintain vendor issue logs, track resolution times, and ensure continuous improvement.
- Conduct Quarterly Business Reviews (QBRs), presenting performance trends, gaps, and recommendations to executives.
- Drive vendor collaboration programs for innovation and cost efficiency.
3. Strategic Sourcing & Contract Lifecycle Oversight
- Oversight of IT contract negotiation, renewals, amendments, and extensions.
- Ensure contracts include measurable performance metrics, compliance obligations, and value capture clauses.
- Partner with Procurement on strategic sourcing initiatives to ensure alignment with enterprise IT strategy.
- Track total contract spend, realized savings, and ROI metrics.
4. Cross-Divisional Collaboration & Reporting
- Serve as central point of contact for IT vendor management across all five divisions.
- Deliver executive dashboards, quarterly reports, and actionable insights to CIO, CFO, and other senior stakeholders.
- Standardize best practices for vendor management across regions (Europe, LATAM, USA).
- Facilitate knowledge sharing and global consistency in vendor management.
5. Risk & Compliance Management
- Identify, assess, and mitigate vendor-related risks: operational, financial, cybersecurity, and regulatory.
- Ensure vendors comply with legal, regulatory, and corporate requirements.
- Implement risk monitoring tools and early warning systems to proactively address potential issues.
Key Qualifications
- Bachelor’s degree in IT, Business Administration, Supply Chain, or related field (MBA preferred).
- 8+ years of experience in IT vendor management, strategic sourcing, procurement, or contract management.
- Proven experience managing large-scale, multi-million-dollar IT contracts globally.
